Job overview The Coupa Risk Assess Platform Manage r will be responsible for support, leadership and maintenance around the use o f Coupa Risk Assess within supplier onboarding and other business processes. The incumbent will facilitate and support the development of business cases, conduct research for new releases and features, new products or modules, configure the local Coupa Risk Assess instance, test and integrate innovations to our standard procurement systems and provide continuous support through hypercare and beyond. The scope of work the incumbent will manage will range from Coupa Risk Assess, and the Coupa Supplier Information Management process integrated to SAP, Mincom Ellipse, and other ERPs, along with other parallel enabling systems such as Boomi and PowerBI. The Incumbent will also work closely with colleagues focused on requirements such as internal and external audits, monitoring, reporting and the continuous evaluation of our current systems and processes. The Incumbent will play an integral role in the organization as a technical expert and subject matter expert for our Coupa Risk Assess environment, procurement standards, providing technical support to the various sites and businesses as needed. They will also work closely with the Coupa Regional Business Analysts in order for them to help drive initiatives and solutions within the landscape as well as facilitators to deliver training and support around the globe. This is a complex and exciting position that requires a distinctive skill set. The successful candidate has a functional and/or technical background in S2P functionality or other relevant ERP systems, with on the ground experience, and is familiar with the operational models at our numerous sites. The Coupa Risk Assess Platform Manager will have comprehensive project management and communications skills and be able to take complex technical issues and convey these clearly and in multiple formats to various audiences. The individual is also an accomplished facilitator with experience moving diverse stakeholders toward collective learning, clear actions to standards and also has experience delivering training and producing training materials and guides. Reporting Structure: This role will be supported by and report to the Coupa Global Process Owner as well as other Regional Support teams (e.g. ERP, infrastructure, reporting etc.). The role will also be required to manage third party service provider resources such as Coupa support, Boomi support, Kitepipe and others to ensure consistent and efficient service delivery . Specific to Coupa The Coupa Risk Assess Platform Manager will be responsible to participate in the company Coupa Change Control Board and act as the regional representative in the Coupa Community across various BU’s. The role will also have overall responsibility for the ongoing maintenance, development, ongoing trainings on new releases and features and improvement of the Coupa Risk Assess platform as well as input into the Coupa Supplier Information Management Module and functional design within aligning and coordinating requirements/changes with those of the Global team, ensuring that the Coupa Risk Assess (CRA) platform continues to support the requirements of our evolving business. The incumbent will provide an ongoing CRA change management service to the business proactively ensuring that the regional requirements receive the right level of prioritization and that the impact of new features and changes resulting from the Coupa quarterly release cycle are understood, communicated, and deployed in a manner that maximises benefit and minimises risk to the business. The incumbent will also be a Subject Matter Expert (SME) for the Coupa platform as well and is expected to gain a high competency of the Coupa platform in addition to the CRA module. Also from time to time will be called upon to support the development of business cases for other sites and business units when required by the Coupa Global Process Owner. The Regional Business Analyst will also support the Coupa Risk Assess Platform Manager as required to maintain continuity of service. Key Responsibilities: Governance • Represent the requirements and needs of the various BU’s in their region including communicating with Company’s Coupa Change Control Board with respect to the regional BU’s priorities, issues, concerns, and/or changing solution requirements around supplier onboarding. • Ensure compliance with all applicable regulations (ISO, Health, Safety, Financial Audits, etc.) • Work with key stakeholders on compliance with supplier and procurement standards (Ie Compliance, Responsible Sourcing, Road Transport Safety, etc.) by keeping the application of these programs up to date with regular reviews and audits. • The incumbent will spend time in the field coordinating with key stakeholders • Product improvements • User engagement • Communication needs • Training; etc. Performance • Track and continuously monitor the cycle time of the supplier onboarding process. • Track and monitor the correct application of the Coupa Risk Assess processes. • Optimize all steps in the supplier onboarding process to ensure the shortest possible cycle times. This includes monitoring external services such as Citibank banking validation(example from Canada). Project Management • Manage CRA implementation per site • Project kick off and project management • Demonstrations of CRA to site teams • Requirements gathering for any unique requirements in new regions • Facilitate the testing of CRA within new projects • Work through hyper-care stage (both technical and programmatic requirements) • Liaise closely with Coupa Procurement implementation projects Change / Release Management • Lead internal communications with respect to the Coupa Risk Assess solution, including rollouts, enhancements, fixes, demonstrations, etc. • When processes directly or indirectly affecting Coupa are proposed to be changed, work closely with the relevant teams to provide input into how that change would affect the application and its functionality • Proactively analyse and mitigate risk resulting from the Coupa quarterly release program and coordinate the deployment of new features and changes to currently deployed features in conjunction with the Coupa Platform Manager, Global Middleware Lead and the site procurement leads • In conjunction with the Coupa Platform Manager and Global Middleware Lead identify, assess, document, configure and manage new business requirements that will result in changes to the current Coupa deployment in their region. • Maintain the Coupa Risk Assess functional design documentation in line with all changes to the system design, and in conjunction with the Technical Support roles • Ensure that the Coupa functional design remains aligned to key financial and procurement controls/policies within the Company BU’s in their region • Assess, document, and resolve problems that arise when Coupa is not creating successful/expected output • Participate in the appropriate training within the scope of responsibilities to further develop business process knowledge Supplier Management • Ensure that the supplier screening strategy meets with business requirements, industry best practices and maximises the potential value of the platform. • Ensure that the supplier data quality meets the requirements as set forth in the content strategy and standards • Advise the local teams of any new features or new opportunities around data management Supplier Risk Management • Ensure that Coupa Risk Assess is configured to support all corporate requirements relating to for example: Know Your Counterparty (KYC) , Responsible Sourcing (RS)System level controls, and Road Transportation Safety – Standard 21 (RTS) screening programs. • Support the Vendor Management teams to ensure an acceptable cycle time for supplier on-boarding. • Assist in development and administration, workflow changes, program rules, as well as implement new screening programs as required as our compliance requirements evolve including one off screenings such as pandemic response and preparedness. • Audit new supplier onboarding forms to ensure compliance • Monitor approval flows and process steps within the supplier onboarding process. Requirements: • A Business or Information Technology Related Degree or Diploma with a minimum 5 years of significant practical experience in an S2P environment managing the delivery of value to the business. • A comprehensive understanding of the Coupa Source to Pay Platform and associated ERP’s, such as, SAP ECC, SAP S4HANA, Mincom, and others. • A demonstrable familiarity with Systems Analytics and Reporting tools such as Power BI is a pre-requisite for the role. • It is essential the incumbent is customer focused; business oriented and has strong leadership and project management skills with an emphasis on interpersonal, team building and change management as the role will be required to work with a number of different business units within a region. • Comprehensive written and verbal communication, facilitation, and presentation skills.
